THE PROPERTY
Our property comfortably hosts weddings from intimate gatherings to celebrations of up to 250 guests. On-site lodging capacity varies by venue, with each of our four cabins — the Clubhouse, Mansion, Castle, and Villa — offering its own private accommodations. When booked together as a full-property experience, the four venues lodge up to 110 guests on-site, with additional accommodations available nearby for larger guest counts.
Couples who book our Legacy Package enjoy an exclusive benefit when expanding their celebration — additional cabins are offered at 50% off the regular nightly rate, with a three-night minimum stay. It’s our way of making a full-resort experience as seamless as possible for the couples who choose us first.
Yes. On-site lodging across our properties allows wedding parties and guests to stay together throughout the weekend. Lodging details and capacity are confirmed at the time of booking.
Broken Bow is a destination in its own right, with an exceptional selection of luxury cabins, boutique lodges, and short-term rentals within minutes of Crystal Lake Ranch. For weddings exceeding our on-site lodging capacity, we’re glad to recommend trusted nearby properties our couples have used for overflow guests, bridal parties arriving early, or family members preferring their own private retreat. Our planning team can share current recommendations during your tour.
Crystal Lake Ranch offers two wedding experiences: the Signature Package and the Legacy Package. Both include exclusive use of your chosen venue and grounds, on-site lodging accommodations, ceremony and reception spaces, tables and chairs, and the dedicated support of our event team throughout your weekend.
The two packages differ in the scope of the celebration they’re designed for — from the length of property access and lodging arrangements to the level of planning support and on-site service. A complete inventory for each is included in your custom proposal, which our planning team will prepare following your tour.
Couples celebrating in January, February, July, or August receive a 25% seasonal benefit on either package — a thoughtful way to enjoy the full Crystal Lake Ranch experience during our quieter months, when the property feels especially private.
Each of our four venues sits on its own portion of the seventy-acre property, with its own ceremony site, reception space, and lodging — so couples enjoy complete privacy throughout their celebration. On weekends when more than one wedding takes place, our venue manager coordinate timelines closely behind the scenes. The only moment you may notice is a brief, pre-arranged lowering of amplified music during a neighboring ceremony’s vows — a courtesy every couple receives in return during their own ceremony. Couples who prefer full-property exclusivity are always welcome to inquire about that arrangement.
Absolutely. Smaller celebrations don’t require one of our wedding packages — couples are welcome to book any of our cabins at the standard rental rate and design a celebration that suits the size and spirit of their event. Tables, chairs, linens, planning services, and other amenities can be added à la carte, allowing you to bring in only what you need. It’s a thoughtful option for elopements, vow renewals, intimate ceremonies, and milestone gatherings where simplicity is the goal.

BOOKING & TOURS
Tours are scheduled directly through our calendar, or by reaching out to our planning team. We recommend booking your visit in advance, particularly on weekends when our calendar fills quickly. Your tour includes a walk-through of all four ceremony settings so you can choose the right one for your day.
A signed contract and a non-refundable $500 date-hold deposit secure your wedding date on our calendar. At the time of booking, you’ll receive our Wedding Agreement, which outlines the full terms of your reservation including payment schedule, cancellation policy, and venue guidelines. Our planning team is available to answer any questions you may have before signing.
All payments made toward your wedding are non-refundable. We understand this is a meaningful commitment, which is why we encourage couples to review the full terms carefully before reserving their date. Our planning team is glad to walk through the policy and answer any questions in advance of signing.
Date changes are considered cancellations under our agreement. That said, we understand that life occasionally brings the unexpected — and at our discretion, subject to availability, a date transfer may be offered with a $1,500 transfer fee. Pricing, availability, and amenities may shift with the new date, and we’ll walk through any adjustments together.
PLANNING YOUR DAY
Yes. Couples are welcome to bring in the vendors of their choice, provided each carries appropriate insurance and licensure. We’re also glad to share our preferred vendor list — professionals we’ve worked with closely and trust on the property.
Crystal Lake Ranch does not provide, sell, or serve alcoholic beverages. Bar service is arranged through a licensed third-party vendor of your choosing, who must hold an active Oklahoma ABLE Commission license and carry liquor liability insurance. Our planning team will share a list of approved bar partners familiar with the property.
Well-behaved dogs are welcome to participate in the ceremony with prior arrangement and a designated handler.
All guests attending an event at Crystal Lake Ranch — whether staying overnight or attending the day of — complete our Guest Registration & Liability Waiver prior to arrival. One form per family is sufficient, with all adult guests listed within, and the waiver is required for every guest aged 18 and older. It covers standard property usage including UTV access, lake activities, walking trails, and use of outdoor amenities. We recommend distributing the waiver to your full guest list four to six weeks before your wedding, with a return deadline of one week prior to your event.
Once each family has completed the waiver, they will receive a personalized welcome message from our team containing arrival instructions, the ranch map, Wi-Fi credentials for overnight guests, and emergency contacts — everything they need for a seamless and effortless arrival.
We’re always glad to connect with talented professionals interested in working at Crystal Lake Ranch. Vendors who would like to be considered for our preferred list are welcome to reach out to our planning team with their portfolio, business credentials, and proof of insurance. Photographers, florists, planners, caterers, bar service providers, DJs, officiants, and rental companies are among the partners we work with most frequently. Selected vendors are added to the list shared with our couples and invited to participate in styled shoots and venue events throughout the year.
THE CEREMONY
Crystal Lake Ranch offers four distinct ceremony settings, each with its own atmosphere — the designated ceremony area at your reserved cabin, the forest, the pavilion, and the hill. Couples are welcome to walk all four during their venue tour and choose the one that feels right for their day.
Each ceremony is allotted a two-hour window, which covers vendor setup, guest arrival and seating, the ceremony itself, and the transition into cocktail hour or post-ceremony photographs. Please note that if another wedding is taking place on property that day, early setup outside of your designated window is not permitted — this protects the privacy and timing of every couple celebrating with us. Your vendors are welcome to arrive at the start of your window to begin setup.
Your final ceremony location must be confirmed no later than two weeks before your wedding date. This window allows our team to coordinate setup, staffing, and any seasonal details specific to the space you’ve chosen — and ensures your vendors receive accurate information ahead of time.
Once the two-week confirmation has been submitted, the location is locked into the production schedule and cannot be changed. We’re glad to walk through any concerns with you before that deadline so you feel completely settled in your choice.
In the event of inclement weather, your cabin’s designated ceremony area serves as the built-in backup, so your celebration stays seamless regardless of conditions. Our team monitors forecasts in the days leading up to your wedding and will coordinate with you on any final adjustments. Couples who prefer the assurance of additional outdoor coverage are also welcome to arrange a tent through one of our recommended local vendors — our planning team is glad to share trusted contacts familiar with the property.
CHECKING OUT
Checkout is by 11:00 AM. Late checkout is available by advance request only, subject to availability, with a fee of $100 per hour beyond 11:00 AM to accommodate the additional staffing required.
Before departure, guests are asked to take all trash to the designated bins along the road, rinse and run any used dishes through the dishwasher, lay used towels in the laundry room, and leave used bed linens on the bed without remaking. A complete checkout guide is shared with every guest in their welcome message and outlines a few additional courtesies that help us prepare the property for the next celebration.
